Job Title: Administrative Assistant

Organisation: United Nations Regional Service Centre Entebbe (RSCE)

Duty Station: Entebbe, Uganda

About the Organisation

The Regional Service Centre Entebbe (RSCE) is a prominent shared service hub operated by the United Nations. Based in Entebbe, Uganda, RSCE provides critical administrative, logistics, and technology support services to United Nations field operations and peacekeeping missions across Africa and other regions worldwide.

Key Duties and Responsibilities

The Administrative Assistant will:

• Ensure the effective and efficient functioning of the section by maintaining contact with visitors and staff, arranging appointments and meetings, reserving meeting rooms, and preparing briefing and presentation materials.

• Support office administration through leave monitoring and maintenance of leave and absence records.

• Coordinate travel arrangements, hotel reservations, visa requests, identification cards, and other official documentation.

• Provide administrative support for conferences, workshops, retreats, and other official events.

• Research and retrieve statistical data from internal and external sources and prepare charts, tables, and reports.

• Follow up on deadlines, commitments, and action points while coordinating the collection and submission of reports to the Chief of Section.

• Assist with archiving and maintaining filing systems while ensuring the safekeeping of confidential materials.

• Manage and update the Chief of Section’s calendar and provide timely reminders of upcoming meetings.

• Record, prepare, and maintain meeting minutes.

Human Resources Management

• Enter, maintain, and certify administrative data and records related to time and attendance, performance appraisals, and other personnel matters within electronic information systems.

• Maintain and review staffing tables and generate reports as required.

General Administration

• Draft routine correspondence.

• Maintain files containing rules, regulations, administrative instructions, and related documentation.

• Keep work unit files up to date in both paper and electronic formats.

• Coordinate extensively with service lines and liaise with RSCE and client mission staff when required.

• Perform other related administrative duties as assigned.

Qualifications, Skills and Experience

Education

• High school diploma or equivalent is required.

Experience

• A minimum of five years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or a related field is required.

• The minimum experience requirement is reduced to three years for candidates holding a first-level university degree or higher.

• Experience working within the United Nations system or a similar international organization is desirable.

• Experience working in a front office environment is desirable.

Languages

English and French are the working languages of the United Nations Secretariat.

• English is required.

• French is desirable.
