Job Summary
The Management Services Assistant (Fleet) will support the Management Services Unit by ensuring efficient fleet and carpooling operations. The role focuses on vehicle coordination, driver supervision, compliance, reporting, and operational efficiency to support WFP’s humanitarian activities across Uganda.
Key Responsibilities
1. Carpooling Coordination
- Manage and process transport booking requests in real time.
- Assign drivers and vehicles for missions.
- Update trip schedules and maintain vehicle checklists.
- Generate cost recovery reports and invoices.
- Analyze operational performance and fleet efficiency reports.
2. Driver Management
- Supervise drivers and ensure readiness for assignments.
- Monitor driver attendance, performance, and training needs.
- Review vehicle logbooks for accuracy.
- Manage leave schedules without disrupting operations.
- Ensure compliance with WFP transport policies and procedures.
3. Vehicle Management
- Monitor utilization and routing of WFP vehicles.
- Ensure compliance with fuel card management procedures.
- Follow up on vehicle insurance and accident claims.
- Monitor vehicle tracking systems and safety compliance.
- Coordinate vehicle maintenance and repairs.
- Ensure all vehicles meet UN/WFP safety standards.
4. Fleet Management System (FMS)
- Support staff training on the Fleet Management System.
- Maintain accurate fleet records, fuel logs, and maintenance reports.
- Update driver and vehicle information in the system.
5. Contract & Vendor Management
- Manage contracts for fuel, repairs, maintenance, and insurance services.
- Coordinate procurement and vendor performance reviews.
- Prepare Terms of Reference (TORs) and update SOPs where necessary.
6. Reporting
- Prepare monthly fleet and fuel consumption reports.
- Monitor vehicle efficiency and operational costs.
- Report safety incidents and technical faults promptly.
- Recommend fleet improvements and vehicle replacements.
Qualifications & Experience
Education
- Bachelor’s degree in Administration, Finance, or a related field.
Experience
- At least 3 years’ experience in administrative roles, preferably fleet management related.
Required Skills & Competencies
- Strong organizational and multitasking skills.
- Excellent attention to detail.
- Good communication and teamwork abilities.
- Knowledge of administrative and fleet procedures.
- Ability to build partnerships and networks.
- Strong technical and analytical skills.
- Fluency in English (spoken and written).
